Problem
Contracts, enrollment, budgets, contacts and incident history for each center lived in spreadsheets and personal notes. Context was lost when staff changed, and executives couldn't easily see which centers needed attention.
What we did
- A data model linking centers, client organizations, directors, contacts, contracts, yearly status, surveys and notes
- A center page that gathers that year's contract, contacts, staffing, budget and issues
- Issue logging with follow-up actions, attachments, filters and bulk closing
- Directives from executives to field staff with read receipts, action reports and notifications
- AI screening that ranks centers as high, medium or normal risk from monthly issues
Result
Each center's history builds up in one place, so context survives staff changes. Executives and staff track issues from the same screens.
